How to Respond to Google Reviews: Templates and AI Examples That Win Customers
July 29, 2026 · Himanshu Batra
88% of consumers read business owner responses to reviews before deciding to visit. Google has also confirmed that responding to reviews signals an active, trustworthy business. Yet most local businesses respond to fewer than a third of their reviews. That's a free competitive edge sitting on the table.
The anatomy of a great review response
Every good response — positive or negative — does three things:
- Uses the reviewer's name (personalization signals you actually read it)
- References something specific from their review
- Reinforces a keyword or service naturally ("Glad the beard trim worked out...")
Responding to 5-star reviews
Keep it short, warm, and specific:
Thanks so much, Sarah! We're thrilled the color came out exactly how you pictured it. See you at your next appointment!
Avoid the copy-paste trap — ten identical "Thank you for your feedback!" replies in a row look worse than no reply at all.
Responding to negative reviews
Never argue publicly. The response isn't really for the reviewer — it's for the hundred future customers reading it:
Hi Mark, I'm sorry your visit fell short — long wait times aren't the experience we aim for. I'd like to make it right; please reach us at hello@example.com and ask for the manager. — James, Owner
Acknowledge, apologize without excuses, move the conversation offline, and sign it. That formula defuses nearly everything.
Responding to reviews with no text
Star-only reviews still deserve a one-liner. "Thanks for the 5 stars, Alex — see you again soon!" takes ten seconds and counts as engagement.
Where AI fits in
AI is extremely good at this specific job: it reads the review's sentiment, pulls the reviewer's name and details, and drafts a response in your brand voice in seconds. The right workflow is AI drafts, human approves — you keep the judgment, lose the busywork. For businesses with hundreds of reviews, auto-response for positive reviews with human review of negatives is the standard.
MyAds.Guru's AI Review Responder drafts personalized replies from your actual business data and posts them straight to Google after your approval — and Pro plans can auto-respond to new reviews entirely. Try it free.
